Even Better Outlook tips

Got this great tip on a Jaiku /blog post i made yesterday.

It is a even better way how you should work with email.
Read all about it HERE or read on for a quick intro…..

The basic idea is to firewall processing as a discrete phase you go through no more than every hour or two at the most. For God’s sake, don’t live in your Inbox if there’s any way you can avoid it.

Processing determines as quickly as possible what, if anything, to do with each piece (in ascending order of urgency and importance):

  • delete it
  • archive it
  • defer it for later response
  • generate an action from it
  • respond to it immediately (if it—literally—will take less than 2 minutes or is so Earth-shattering that it just can’t wait)

Then as often as time allows, I return to the response and action folders and crank through as many replies and complete (or generate) as many todos as I can—usually in 5-email sprints.

After my last post i did some more reading on the Productivity 501 site who gave lifehacker all those great Desk Organizing tips.
And i found this great Outlook Tip.

Just make a todo folder for your email it keeps you alert on those follow up emails you always forget.

How to organize your desk in a few simple steps.

# Move electronics out of sight. Your cable modem, wireless router, firewall, battery backup, etc. shouldn’t be on your desk. Even if you have enough room in introduces visual clutter.
# Easy to access files. Without moving your chair or getting up, you should be able to grab an unused manila folder, label it and put it in your file cabinet. Easy filing is one cornerstone of good organization. The more effort it requires the more difficult it will be to stay organized.
# Scanning documents. This is something I’m experimenting with. I have a scanner and I’ll turn important documents into PDFs and keep them on my computer. I use OCR so the documents are searchable. This is wonderful if you travel a lot because it keeps everything right there with you. The problem is trying to figure out what to scan and what can just be filed. If you are good at guessing what you’ll want to have electronically this can work very well. I haven’t figured out how accurate I am just yet.
